How can I increase anonymity when reporting?

Some tips to achieve maximum anonymity, in addition to informing that the report is anonymous, are:

• Make sure that the description of the communication does not include information from which you can easily be identified. The same applies to the documents that you attach as possible evidence.

• Do not report from a computer connected to the company network, including a mobile phone connected to the corporate Wi-Fi. Ithikios does not record information, but before reaching our systems it must go through the control systems themselves such as proxies or firewalls and there may be configurations that allow it to know which services it connects to.

• You can use the open source browser TOR, which anonymizes the IP address.

Is anonymity guaranteed in the complaint?

In the reporting process you can decide whether to report your personal data or not. If you choose not to do so, you will need to establish your own monitoring through the reporting channel to see progress and resolution. The channel will offer you a username and password to access the progress of the complaint. The channel is independent of the company and does not record information about the IP from which it connects

What happens if, later, the content of a complaint is proven to be false?

The important thing is to act in good faith and that there are reasons to believe that the reported facts are true. The company does not expect the whistleblower to investigate the facts. The Ethics Committee is the one who must assume this function. If the investigation concludes that no violation has occurred, and it is concluded that the notifier has acted in good faith, he or she should not fear any type of retaliation.

Who manages the complaints channel?

The Channel is managed by our GEA's (External Alert Managers), specialist professionals with specific training for this purpose, which ensures neutrality, objectivity and effectiveness in the treatment of complaints received.

Why do I have to report what I know?

Integrity, responsibility and transparency are fundamental values ​​for the company. We have an obligation to know and understand our Code of Ethics. We also have the responsibility to report any possible breach of our Code.

How can I process the complaint?

The law establishes that entities must allow written and verbal communications. People who consider it appropriate may make their communications, through this communications channel offered on this website, in written form. Those people who want to make the complaint verbally must, in advance, request an appointment by e-mail [email protected] for a face-to-face meeting or videoconference. To do this, we have a physical space where they can go and be assisted by trained personnel, who will help them register the complaint and clarify any questions they may have.

Mutual Médica has a committee responsible for the complaints channel which has measures that guarantee the anonymity and confidentiality of the complaint. Any complaint received will be treated with the seriousness and confidentiality it deserves, and the necessary measures will be taken to properly investigate it.

What can I report?

You may report all events that you believe, in your opinion, may go against the company's code of ethics and internal regulations.

Some examples:

If you notice that documentation has been falsified to obtain some type of benefit.

If you have been aware of any bribery to a member of the company.

If you know that there is a conflict of interest of any person in the company.

If you have suffered or know that someone has suffered any type of harassment based on sex, identity, or work in their workplace.
